Investment Specialist

Job Overview

The Investment Specialist is responsible for supporting all aspects of Individual Retirement Accounts (IRAs) and other retirement plans, including the accurate and timely processing of outgoing payments and fund transfers. This position combines client-facing IRA account servicing with back-office payment processing, ensuring exceptional client service, effective investment and distribution support, and strict compliance with regulatory and internal requirements.

Responsibilities & Duties

  • Serve as the main point of contact for clients regarding their IRA accounts and related investments, addressing inquiries, resolving issues, and providing guidance on account-related matters.

  • Provide guidance and support to clients on next steps for requested investments on their custodian-controlled IRA account, including the selection, purchase, and management of cryptocurrency assets, as applicable.

  • Assist clients with understanding their business goals and financial needs, providing detailed guidance on available investment options and preferences within regulatory guidelines.

  • Oversee and execute the processing of outgoing payments, including wire transfers, ACH transfers, checks, and other methods of fund disbursement.

  • Manage and process distribution requests for various types of IRAs, ensuring all distributions are executed accurately and in accordance with client instructions and regulatory requirements.

  • Ensure all financial transactions and distributions are accurate, fully documented, and processed in a timely manner, following internal policies and controls.

  • Verify and reconcile outgoing payments against account statements and transaction records, addressing and resolving any discrepancies or issues that arise during the transaction process.

  • Maintain accurate and up-to-date records of client interactions, transactions, comments, complaints, and outgoing funds activity in the appropriate systems.

  • Address client inquiries and concerns related to their accounts and distributions promptly and professionally, delivering a high level of customer service.

  • Build and maintain strong relationships with clients, providing personalized support to meet their retirement planning and distribution needs.

  • Maintain up-to-date knowledge of IRA rules and regulations, as well as internal policies related to investments, distributions, and outgoing funds processing.

  • Collaborate with internal teams (e.g., operations, compliance, client services) and external partners to ensure seamless and compliant client experience and to support overall business objectives.

  • Ensure compliance with security and confidentiality policies to protect client and company information in all interactions and transactions.

  • Other tasks as assigned by management.

Qualifications & Requirements

  • Bachelor’s degree in business, finance, accounting, or a related field (or equivalent work experience).

  • Previous experience in financial services, particularly in IRA administration or retirement accounts, preferred.

  • Commitment to delivering exceptional customer service.

  • Previous experience with financial software, databases, and Microsoft Office Suite products.

  • Strong verbal and written communication skills.

  • Excellent attention to detail and accuracy.

  • Ability to prioritize tasks and manage time effectively.
